Privacy policy COMCAM

This privacy policy applies to the use of the COMCAM website and the services accessed through it, as well as the proxies (power of attorney), contracts and services accessed outside the website. The effective date for the validity of these terms and conditions is 25–09–2020. With the publication of a new version, the validity of all previous versions expires.

This privacy policy describes what data about you we collect, for what we use this data, and with whom and under what conditions, if any, we share this data with third parties. We also explain to you how we store your data and how we protect your data from misuse, and what rights you have concerning the personal data you provide to us.

How we process your data

Below you can read how we process your data, where we store it or have it stored, which security techniques we use and who can view the data.

Web hosting

We use web hosting and email services from SiteGround. SiteGround processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of its services. This is not personal data. SiteGround has taken appropriate technical and organisational measures to prevent the loss and unauthorised use of your personal data. SiteGround has a duty of confidentiality under the agreement.

We use MS Office 365 services for our regular business email traffic. This party has taken appropriate technical and organisational measures to prevent abuse, loss and corruption of your and our data as much as possible. MS Office 365 does not have access to our mailbox, and we treat all our email traffic confidentially.

This website is hosted through us at “Hoasted“.

Purpose of data processing

General purpose of data processing

We use your data exclusively for our services. That is, the purpose of the data processing is always directly related to the task you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you – other than at your request – at a later time, we will ask for your explicit consent. We will not share your data with third parties other than to meet accounting and other administrative obligations. These third parties are bound to confidentiality under the agreement between them and us or an oath or legal obligation.

Automatically collected data

Data automatically collected by our website is processed to improve our services further. This data (e.g., your IP address, web browser and operating system) is not personal data.

Cooperation in tax and criminal investigations

When appropriate, COMCAM may be required by law to share your data in connection with governmental tax or criminal investigations. In such a case, we are forced to share your data, but we will oppose it within the possibilities provided by law.

Retention periods

We keep your data for as long as you are our client. We keep your client profile until you indicate that you no longer wish to use our services. We will also take this as a forget-me request if you indicate this to us. Applicable administrative obligations require us to retain invoices containing your (personal) data. We will therefore keep this data for the applicable term. However, employees will no longer have access to your client profile and documents we have produced due to your assignment.

Your rights

Under applicable Dutch and European legislation, as a party involved, you have certain rights concerning personal data processed by us or on our behalf. We explain below what these rights are and how to invoke them.

In principle, to prevent misuse, we only send statements and copies of your data to your email address already known to us. If you wish to receive the data at a different email address or by post, for example, we will ask you to identify yourself. We keep records of completed requests. In the case of a forget-me request, we administer anonymised data. You will receive all copies and transcripts of data in the machine-readable data format we use within our systems.

You have the right to complain to the Dutch Data Protection Authority at any time if you suspect that we are inappropriately using your personal data.

Right of access

You always have the right to inspect the data we process or have processed that relates to you or can be traced back to you. You can make a request to this effect to our privacy liaison. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all the data with a list of the processors holding this data, indicating the category under which we have stored it, at the email address known to us.

Right of rectification

You always have the right to amend the data we process or have processed that relates to you or can be traced back to you. You can make a request to this effect to our privacy liaison. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the email address known to us that the data has been updated.

Right of restriction of data processing

You always have the right to limit the data we process or have processed that relates to you or can be traced back to you. You can make a request to this effect to our privacy liaison. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation at the email address known to us that we will no longer process the data until you lift the restriction.

Right of transferability

You always have the right to transfer the data we process or have processed that relates to you or can be traced back to you to another party. You can make a request to this effect to our privacy liaison. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or transcripts of all data about you that we have processed or have processed on our behalf by other processors or third parties at the email address known to us. In all likelihood, we will no longer be able to continue providing services in such a case, as we can no longer guarantee the secure linking of all data files.

Right of objection and other rights

You have the right to object, where appropriate, to the processing of your personal data by or on behalf of COMCAM. If you object, we will immediately cease data processing pending the resolution of your objection. If your objection is well-founded, we will make transcripts and/or copies of data we process or have processed available to you and then permanently cease processing. You also have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. Cookies

Google Analytics

Through our website, cookies are applied by the US company Google as part of its Analytics service. We use this service to track and get reports on how visitors use the website. This processor may be required to provide access to this data under applicable laws and regulations. We have not allowed Google to use the analytics information obtained for other Google services.

Our website includes buttons that allow you to like and share pages and/or products and services on social media. These buttons are linked to social media such as Facebook, LinkedIn, and more. The buttons contain a code containing cookies from the social media platform concerned. We have no control over their cookies and associated privacy policies. Changes to the privacy policy

We reserve the right to change our privacy policy at any time. On this page, however, you will always find the most recent version. If the new privacy policy affects how we process data already collected concerning you, we will notify you by email.
