COMCAM values your privacy and protects your personal data with care. This privacy policy explains which data we collect, what we use it for and with whom we share it. If you have any questions about this policy, please contact us using the details at the bottom of this page.
1. Who is responsible for your data
COMCAM is a trade name of COMCAM B.V. (Chamber of Commerce 63348004) and COMCAM International BV (Chamber of Commerce 84425504), both located at Park Veldzigt 69, 4336 DX Middelburg, the Netherlands. Together they are responsible for the processing of personal data described in this policy. Where this policy says “COMCAM”, “we” or “us”, both companies are meant.
2. Information we collect
In the course of providing our services, we collect information that you provide directly to us or that we gather through various channels. Specifically, we collect:
- Personal identifiers such as your name, email address and telephone number, company details such as business name and Chamber of Commerce number, and IP addresses.
- We collect this data through contact forms, newsletter sign-up forms, the energy scans on this website, the chat assistant, tracking technologies (only after your consent) and forms on platforms such as LinkedIn and Meta.
3. How we use your information
We use the information collected for the following purposes, each with the corresponding legal basis under the GDPR:

4. How we share your information
We only share your information with:
- Group companies, for operational purposes and to better serve your needs.
- Energy suppliers and other vendors, as necessary to provide you with our services.
- Service providers that make this website and our communication technically possible (see the next section). We have data processing agreements in place with these parties.
We do not share your personal data with third parties for their own marketing purposes and we do not sell your data.
5. This website
To run this website we work with the following service providers (processors):
- Hosting: the website runs on Vercel.
- Content: the texts and articles on this website are managed in Storyblok (CMS). Storyblok does not process visitor data.
- Contact forms and energy scans: your input is sent by email through Postmark to the responsible team and you receive a confirmation. Scan results and requests are also stored in our database at Supabase.
- Chat assistant: the chat on this website is an AI assistant. Your messages are processed by OpenAI or Google (Gemini) to generate a reply. We store the conversations in Supabase, together with technical data such as a session identifier based on your IP address, your browser type and the page from which you opened the chat. Do not share information in the chat that you do not want to share with us.
- Appointments: if you schedule a call through the website, this runs through Calendly. The details you enter there are also covered by Calendly’s privacy policy.
- Statistics: only after your consent do we measure the use of the website with Google Tag Manager and Google Analytics, and with PostHog. Without consent, no statistics are collected.
6. Cookies and similar technologies
This website uses cookies and local storage. We only set analytics cookies after you have agreed to them in the cookie notice. You can change your choice at any time by clearing the stored choice in your browser; the cookie notice will then appear again.

7. International data transfers
We store and process personal data within the European Economic Area wherever possible. Some of the service providers named above (such as Postmark, OpenAI, Google and Vercel) are established in the United States or process data there. In those cases we rely on the safeguards required by the GDPR, such as the European Commission’s standard contractual clauses or certification under the EU-US Data Privacy Framework.
8. Data security
We protect your data using appropriate security measures, including professional grade databases with comprehensive security features such as Identity and Access Management (IAM) and two-factor authentication (2FA).
9. Data retention
We retain personal data only as long as necessary to fulfil the purposes for which it was collected, as well as to satisfy any legal, accounting or reporting requirements. We apply the following principles:
- Contact requests and scan results: as long as needed to handle and follow up your request. If your request leads to a contract, the retention periods for client data apply.
- Chat conversations: as long as needed to improve the chat assistant and to prevent misuse. After that we delete or anonymise them.
- Statistics: according to the retention periods of Google Analytics and PostHog as listed in the cookie table.
- Client and invoicing data: for the duration of the contract and afterwards as long as statutory retention obligations require (seven years for tax records).
10. Your privacy rights
Under the GDPR, you have the right to:
- Access, update or delete the information we have on you.
- Be forgotten if you are not currently under contract. This means you can request that your personal information be deleted from our records.
- Restrict or object to processing.
- Receive your data in a common file format (data portability).
- Withdraw consent at any time, without affecting the processing that took place before.

We will respond to your request within a reasonable timeframe and notify you of the specific actions taken. If you are not satisfied with the way we handle your data, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
11. Changes to this policy
We may update this privacy policy from time to time in response to changing legal, technical or business developments. When we update our privacy policy, we will take appropriate measures to inform you, consistent with the significance of the changes we make. The latest version is always available on this page, with the date of the last change at the top.
